We are establishing a pool of pre-qualified candidates to staff temporary and permanent Executive Administrative Assistant positions at the Bank of Canada!

What you will do
You will be part of a multifaceted workplace and provide full clerical and administrative support to departmental staff. You will also be accountable for a wide range of office management and operational support services for the department.

Specifically, you will:

·prioritize and manage inboxes and calendars for senior management, schedule and control their appointments, draft meeting agendas, take minutes, and help to prepare background meeting information, including printing documents and/or assembling electronic documentation

·assist leaders you support by tracking deliverables and due dates, adding reminders or blocking off time in their calendar to complete tasks and providing updates during your regular touch bases

·coordinate travel arrangements and support managers with the process for expense claims
participate in departmental projects and initiatives and suggest process improvements while maintaining and updating the department’s filing and data systems

·support meetings by assisting meeting participants with Skype or conference call technologies, plan with caterers to provide refreshments to the attendees and assist with onboarding new team members in the department

We will encourage you to propose improvements to the efficiency and effectiveness of the office including writing procedures, and reformatting and converting documents, and ordering stationery supplies.

What you need to succeed
You are an engaged teammate, who actively participates in achieving team goals and you plan and prioritize work, anticipate and adapt to different clients’ needs, ask for clarification when required and react quickly to change. You maintain an attention to detail and to the quality of your work.

You have intermediate digital literacy with the Microsoft suite, including Outlook, Visio, Excel, Word and PowerPoint and have a proven understanding of office procedures and related policies. You are also able to follow the processes and procedures surrounding protected and confidential documents and information. As well, you possess strong written and verbal communication skills, can write clear and grammatically accurate short documents, and can convey straightforward messages with tact. You are open-minded, adaptable, and take initiative to proactively overcome any work obstacles that may arise, such as prioritising competing demands and re-negotiating deadlines while ensuring quality.

Nice to have
Solid understanding of SharePoint and record management principles

Your education and experience
This position requires an administration certificate/diploma or high school diploma and a minimum of two full years of recent work experience providing administrative support services or an equivalent combination of education and experience may be considered.

What you need to know
Language requirement: English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language. (although the position requires a Level 5 (fully functional) in the second official language, in some instances we may be open to those with a lower level and may provide training to help the selected candidate reach the required level over time)
Priority will be given to Canadian citizens and permanent residents

Hybrid Work Model
The Bank is conducting a trial of a hybrid working model which provides employees with the flexibility to telework for significant portions of each month. During the trial, employees will be expected to come onsite on those days when they are involved in activities that they or their leader feel are better conducted in person and to build connections with colleagues.  For the majority of employees, it is expected that onsite time will range from 5 to 10 days per month, depending on your role.  You must live in Canada, and within reasonable commuting distance of the office.

·Salaries are based on qualifications and experience and typically range from $52,450 to $61,705 (job grade 12)Depending on performance, you may be eligible for performance pay for successfully meeting (3 to 5% of your base salary) or for exceeding expectations (7% of your base salary). ·Exceptional performers who far exceed expectations may be eligible for higher performance pay.
