Position Title: Director of Operations, Programs and Services

Reports to: Executive Director Job Type: Full-time, Permanent Salary Range: $65,000.00-$75,000.00 per year

Position Summary:
Reporting to, and working closely with, the Executive Director (ED), the Director of Operations, Programs and Services (DOPS) contributes to the overall success of St. Mary’s Home (SMH) by effectively managing the operations of the organization in alliance with the vision, mission, and strategic plan. The DOPS provides supervision, support, and leadership with members of the Management/Coordination and Admin Teams, and ensures adherence to best practices, licensing, accreditation standards, risk mitigation, quality assurance and organizational objectives. This position includes responsibilities and oversight for Human Resources, Administration, Facility & IT Management, and continued excellence in service delivery. The DOPS liaises and collaborates with multi-sector onsite and community-based partners, funders, and other key stakeholders to support SMH’s achievement of service outcomes, reporting requirements and strategic plan objectives.

Key Responsibilities:

Participate in all aspects of human resources management, including the recruitment, orientation, onboarding, and training of new staff members and supporting ongoing staff development while promoting positive morale and a healthy workplace;
Provide supervision, leadership and support to the management/coordination and administrative team members;
Support cohesive operations across the agency, ensuring programs and services meet or exceed agency requirements and best practices;
Maintain effective systems and processes to ensure the successful ongoing engagement and coordination between staff members, onsite and community-based partners, volunteers, students, and other key stakeholders;
Ensure essential file management, data collection, assessment, and evaluation tools, and reporting processes are in place and utilized across all programs and services;
Monitor ongoing service planning and program development, implementation, promotion, and evaluation;
Oversee IT support and ensure the ongoing quality of IT systems and infrastructure meet organizational needs, procuring new equipment and services as needed;
Ensure compliance with financial and accounting policies and procedures; approving expenditures for program and support service needs based on budget guidelines;
Ensure statutory reporting compliance in all relevant areas including those pertaining to not-for-profit organizations;
Share signing authority responsibility for the agency, while adhering to the policies and Bylaws of SMH;
Work with the ED and Accreditation Committee to review, develop and recommend policies and procedures where necessary and support cohesive implementation of these across the agency;
Ensure policies and procedures are understood and implemented in day-to-day operations;
Support the ED in meeting agency operational, funding, and legal requirements and maintaining licencing and Accreditation Standards as a Child and Youth Mental Health Agency;
Monitor, manage and improve the efficiency of services such as IT, HR, Accounts and Finance
Participate actively in staff, leadership, board committee and relevant community meetings;
Project a positive image of SMH in the community;
Support and facilitate visioning, service planning and staff development;
Collaborate closely with the ED and act as temporary replacement for the ED during their absence;
Carry out other duties as assigned.

Qualifications and Essential Skills:

As the ideal candidate, you are an inspiring leader who brings a combination of Relevant education and a minimum of seven years’ of progressive management experience;

A strong ability to lead and mobilize staff and a demonstrated success in incremental leadership within a not-for-profit setting;
Exceptional organizational skills and attention to detail, resourceful flexible, with the ability to prioritize tasks;
Demonstrated leadership abilities, including the ability to work and make decisions independently as well as within a team;
Experience in all aspects of human resources management, including supervising and managing staff and to achieving organizational and project deliverables;
Demonstrated experience with overseeing budgets and ensuring compliance with contribution agreement requirements;
Exceptional administrative and project management skills, including a strong aptitude for managing multiple priorities simultaneously;
Strong problem-solving and critical thinking abilities, demonstrating exceptional judgment, discretion, and decision-making skills;
Excellent computer skills, highly proficient in Microsoft Office and Outlook and familiar with database software and IT systems;
Versatile, skilled, and effective communicator with demonstrable evidence of strong written and oral communication skills;
Ability to work in a dynamic, fast-paced environment with competing deadlines;
Ability to adapt to the changing needs of the organization;
An experienced and inclusive leader with exceptional communication, innovative systems thinking, team and stakeholder engagement skills; Experience working in the community with a strong understanding of government, policy, programming, and funding models related to social services;
Demonstrated experience improving processes and systems with a continuous improvement culture;
Fluency in English is required; fluency in French is a strong asset.
